Policy

The purpose of this policy is to foster goodwill and harmony for those affiliated with Loyola University New Orleans in the betterment of each of our students, faculty and staff. It also fosters the safety of all parties involved, especially our Pro Bono Faculty on University property.

Procedure

1. Hiring department will complete and submit an approved Personnel Notification Form (PNF), signed by either the respective College Dean or Associate Dean and the Provost Office. The PNF must be received in Human Resources two weeks prior to when the Pro Bono Faculty is scheduled to teach. The following information is required on the PNF for proper set up in the Human Resources System (HRS):
First and Last Name
Social Security Number (and CWID, if any)
Department
Division
Home Address
Begin Date
End Date
Include in the “Comments” section the Department Contact Person and phone number

2. In fostering a safe environment for our students, the faculty member will report to Human Resources to complete various University policy documents, such as sexual harassment, drug-free workplace, workplace violence, consensual relationships, etc., before they begin working with our students. The faculty member will be given paperwork to obtain a Loyola ID card which will provide them with the following benefits: access to the Library, sports complex, athletic events, bookstore discount; and ability to add Wolf Bucks, Meal Plans or establish an Express/debit account to the ID card (with payment in the Bursar’s office).

3. Human Resources will notify Risk Management each time a Pro Bono Faculty joins Loyola.

4. When the Pro Bono faculty member leaves or their services are no longer required, the department will need to obtain and return the ID card to Parking Services and forward a PNF to Human Resources indicating their last day worked in order to inactivate them in HRS in a timely manner.
