It is the intent of Loyola University New Orleans to clarify the definitions of employment classifications so that employees understand their employment status and benefit eligibility. These classifications do not guarantee employment for any specified period of time.
Each employee will belong to one employment category:
FACULTY employees are employed on a contract basis by the Division of Academic Affairs.
REGULAR FULL-TIME: staff employees who are not in a temporary status and generally are regularly scheduled to work at least 37.5 hours per week. They are eligible for Loyola University’s benefit package, subject to the terms, conditions, and limitations of each benefit program. Some hourly staff are regular full-time employees whose duties may involve shift work and who are normally scheduled to work 40 hours per week.
LIMITED TERM APPOINTMENTS: staff members who are employed with the University for a pre-determined length of time, normally not less than one full year, who may be eligible to receive benefits in the same manner as full-time regular employees. Limited term employees may be paid via grants or other special funding accounts.
REGULAR PART-TIME: staff who are not assigned to a temporary status and who are regularly scheduled to work in one of the capacities described below.
Part-time A staff are regularly scheduled to work at least 30 hours per week. Part-time employees who work at least 30 hours per week are eligible for Loyola's benefits subject to the terms, conditions, and limitations of each benefit program.
Part-time B staff are regularly scheduled to work less than 30 hours per week. While they do receive all legally mandated benefits (such as social security and workers’ compensation insurance), they are ineligible for all of Loyola University’s other benefit programs. Those employees who have worked one-year of service in at least a part-time capacity with a minimum of 1,000 hours during the previous 12 months may be eligible for the University’s retirement plan benefit, subject to the terms, conditions, and limitations of the plan.
TEMPORARY (Full or Part-time) staff are hired as interim replacements to temporarily supplement the work force or to assist in the completion of a specific project. Employment assignments in this category are of a limited duration, generally not to exceed 6 months. Employment beyond any initially stated period does not in any way imply a change in employment status. Temporary employees retain that status unless and until notified of an approved change. Temporary employees receive only legally mandated benefits, (such as workers’ compensation insurance and social security), and they are ineligible for all of Loyola University’s other benefit programs.
TEMPORARY AGENCY WORKERS are individuals who perform work for the University and are paid through a staffig agency. Temporary agency workers are not employees of the University.
INDEPENDENT CONTRACTOR STATUS
Determining the appropriate classification of a worker as either an employee or independent contractor is the responsibility of the Department of Human Resources. The Department of Human Resources is guided by Section 3401 of the Internal Revenue Code. Every individual employed by Loyola will be categorized as an "employee" unless specifically designated as an independent contractor by the Human Resources Director.
STUDENT EMPLOYEES are subject to the requirements of this manual as well as any specific requirements imposed by their financial scholarship. Student employees may work, up to but not over, 26 hours per week maximum (including multiple assignments and Federal College Work Study) during Fall or Spring semester. Summer semester is the ONLY acceptable time a student may work, up to but not over, 40 hours per week. Students are required to complete and submit a biweekly time sheet in order to be paid for their hours worked. As with regular employees, students are paid via direct deposit and they are not eligible to start working until they have completed the necessary employment paperwork in Human Resources. Students who graduate are allowed to continue working, up to but not over, 90 days after completion of their course work. Students currently enrolled at Loyola or another university will be classified as student employees and may work in one of the following student capacities using the object code 1920.
UNDERGRADUATE Student Assistants, Research Assistants or Interns are enrolled students with an undergraduate status and may be assigned to a specific faculty/staff to assist them with an undergraduate research project or department/college related work activities. These student employees are coded as H90 in the Human Resources System.
GRADUATE Student Assistants, Research Assistants or Interns are enrolled students with a graduate status who are assigned to a specific faculty/staff to assist them with a graduate research project or department/college related work activities. These student employees are coded as H80 in the Human Resources System.
RETIREES are faculty and staff who leave the University at age 50 and above with 5 or more years of continuous, benefit eligible service. Retirees are eligible for certain retiree benefits and retiree medical coverage.
PRO BONO FACULTY are non paid faculty who assist Loyola in achieving its mission on a volunteer or goodwill basis interacting with/teaching students in a particular subject. With an approved Personnel Notification Form (PNF), they are eligible for a Loyola ID card that grants them access to the libraries, athletics events, bookstore discount and sports complex. They may also purchase Wolf Bucks, Meal Plans or establish an Express/debit account in the Bursar’s Office. Pro Bono faculty has a Corp Status code of “Z.”
